These Terms of Service govern the Civermark LLC website and all estimates, bookings, appointments, and services provided by Civermark LLC.
"Civermark," "we," "us," and "our" refer to Civermark LLC. "Customer," "you," and "your" refer to the person or organization requesting, authorizing, purchasing, or receiving services.
By scheduling an appointment, approving a quote, accepting a work order, making payment, or authorizing Civermark to begin work, you agree to these Terms.
You confirm that:
Civermark may request reasonable confirmation of your authority and may postpone or decline service when authorization is disputed or unclear.
To the extent caused by your breach of this Section 1, you agree to indemnify, defend, and hold harmless Civermark and its owners, employees, and contractors from third-party claims, losses, damages, and reasonable expenses, including reasonable attorneys' fees, arising from false, misleading, or inaccurate information regarding your authority to request or approve service.
This obligation does not apply to the extent a claim or loss is caused by Civermark's negligence, recklessness, intentional misconduct, or violation of applicable law.
Civermark provides dryer-vent cleaning and related services described in the customer's approved quote, booking confirmation, work order, or invoice.
Depending on the service selected, work may include:
Only services specifically listed in the approved quote, booking confirmation, or work order are included in the agreed price.
Unless specifically agreed in writing and legally permitted, Civermark does not provide:
Civermark may recommend another qualified provider when requested work falls outside Civermark's services.
Prices may be provided through the Civermark website, booking platform, telephone, email, text message, written quote, or onsite evaluation.
An estimate is based on the information available when it is prepared. The price may change when Civermark discovers conditions that were not disclosed or reasonably apparent, including: an unusually long or complex vent route; multiple dryers or vent systems; severe lint accumulation or blockage; inactive nesting material or pest debris; rooftop or difficult exterior access; stacked, built-in, or unusually heavy appliances; a gas dryer requiring additional access procedures; damaged, disconnected, or improperly installed ductwork; restricted access; additional labor, equipment, or materials; or conditions outside the originally approved service.
Civermark will request customer approval before performing additional chargeable work. The customer may decline additional work. Civermark may be unable to complete the original service when additional work is necessary for safe access or proper completion.
A confirmed service-call appointment authorizes Civermark to travel to the service property and perform a limited on-site evaluation of reasonably accessible dryer-vent components. The purpose of the evaluation is to observe visible conditions, discuss available service options, and prepare or confirm service pricing.
The on-site evaluation is not a formal home inspection, building-code inspection, fire inspection, HVAC inspection, appliance inspection, gas-system inspection, engineering evaluation, or safety certification.
A $35 service-call fee is due when Civermark completes the on-site evaluation and the customer declines or does not purchase a qualifying service offered for that appointment. A qualifying service may include dryer-vent cleaning, an approved repair or replacement, removal of accessible inactive nesting material, or another chargeable service identified in an approved quote or work order.
The $35 service-call fee is waived when a qualifying service is approved and completed during the appointment. If the customer approves a qualifying service but Civermark cannot complete it during the appointment because of weather, equipment problems, scheduling limitations, required materials, or another circumstance not caused by the customer, the $35 service-call fee will be credited toward the approved service when it is rescheduled and completed. If the customer later cancels or declines the approved follow-up service after the on-site evaluation is completed, the $35 service-call fee remains due.
No service-call fee will be charged if: Civermark cancels before performing the on-site evaluation; Civermark is unable to perform the on-site evaluation; reasonable access to the dryer-vent components necessary for the evaluation is unavailable; or Civermark determines that it cannot reasonably offer a qualifying service.
The service-call fee is separate from a cancellation, rescheduling, no-show, no-access, or trip fee. Civermark does not currently charge those fees. No cleaning, repair, replacement, or other additional work will be performed without the customer's approval of the service and price.
Customers may choose to receive an optional courtesy telephone call when the technician is on the way to the property before arrival. The purpose of the call is to let the customer know the technician is en route and confirm basic access details.
The courtesy call does not guarantee or establish an exact arrival time. Civermark's arrival time may remain uncertain because earlier appointments, traffic, weather, routing, property conditions, and other circumstances may affect the schedule.
Selecting the courtesy-call option is voluntary and is not required to book or receive service. A customer who does not select the courtesy-call option remains responsible for the confirmed appointment date and any access arrangements previously agreed upon. Customers may withdraw their courtesy-call preference by contacting Civermark before the call is made.
The courtesy call is service-related and does not authorize promotional or marketing calls. If the customer does not answer, Civermark may leave a brief voicemail concerning the scheduled appointment unless the customer asks Civermark not to leave voicemail messages. Failure to receive or answer a courtesy call does not automatically cancel or reschedule the appointment.
Before the appointment, the customer agrees to: provide the correct service address and contact information; tell Civermark whether the dryer is electric or gas; provide reasonable access to the property, dryer, dryer connection, and exterior vent termination; remove clothing, furniture, boxes, shelving, and other belongings that block the work area; secure children and pets away from the work area; inform Civermark about stairs, gates, parking restrictions, roof access, building rules, or access limitations; disclose known gas concerns, electrical issues, leaks, pest activity, mold, asbestos concerns, appliance defects, or damaged vent components; remove or protect valuable, fragile, or sensitive items; and ensure that an authorized adult is present unless Civermark approves another access arrangement.
If access is unavailable, Civermark may leave and offer to reschedule the appointment. Civermark does not currently charge cancellation, rescheduling, no-show, no-access, or trip fees. The separately disclosed $35 service-call fee may apply only after Civermark performs the authorized on-site evaluation, as explained in Section 5. Repeated missed appointments, incorrect information, or access problems may result in Civermark declining future service requests.
Civermark may move a dryer a reasonable distance when movement appears necessary and safe. Civermark may refuse to move: stacked washer-and-dryer units; built-in appliances; unstable appliances; appliances on damaged or unsafe flooring; appliances in confined spaces; appliances that appear excessively heavy; appliances whose movement may damage the appliance or property; gas dryers that cannot be safely disconnected or moved; or appliances connected in an unsafe or unusual manner.
The customer may need to arrange access through an appliance technician or another qualified provider before Civermark can complete service.
When reasonably necessary, Civermark may unplug and reconnect an electric dryer using its existing plug and receptacle. Civermark does not alter, repair, or replace electrical receptacles, cords, breakers, wiring, or dryer electrical components. If an electrical condition appears unsafe, Civermark may stop work and recommend evaluation by a qualified electrical or appliance professional.
When specifically included in the approved service, Civermark may shut off the existing appliance shutoff valve and disconnect an existing flexible gas-appliance connector solely to obtain reasonable access to the dryer-exhaust connection.
Civermark may reconnect the existing connector only when: the work is legally permitted; the person performing it is properly trained; Civermark's insurance permits the work; the connector appears serviceable; the valve and connection are reasonably accessible; and no gas odor, visible damage, or other unsafe condition is present.
Following reconnection, Civermark will perform a reasonable leak check at the connection it disturbed using an appropriate leak-detection method.
Civermark does not install, replace, modify, or repair: permanent gas piping; gas shutoff valves; regulators; burners; appliance controls; gas manifolds; or damaged or unsuitable gas connectors.
Civermark may refuse to disconnect or reconnect a gas dryer when the valve, connector, appliance, or surrounding area appears unsafe. If Civermark cannot safely reconnect the dryer, the gas supply may remain shut off and the appliance may remain disconnected. The customer must not operate the dryer until an appropriately qualified provider has addressed the condition.
Civermark will stop work when it detects a gas odor, suspected leak, or unsafe gas condition. Civermark may: shut off the accessible appliance valve when reasonably necessary; decline to reconnect or operate the dryer; recommend that occupants leave the immediate area; direct the customer to contact the gas utility, emergency services, or an appropriately qualified professional; and refuse to continue service until the condition is addressed. Civermark does not diagnose or repair gas-system defects outside the limited access work described in these Terms.
Civermark may disconnect and reconnect an existing dryer-exhaust transition duct when necessary for cleaning. Civermark may refuse to reconnect a transition duct that appears torn, crushed, restricted, deteriorated, improperly installed, or unsuitable for continued use. Replacement is included only when specifically stated in an approved quote or work order. Civermark does not guarantee that a worn, damaged, or improperly installed customer-owned duct will remain reusable after movement or disconnection.
When included in the approved quote, Civermark may remove accessible inactive nesting material, feathers, lint, droppings, and similar nonhazardous debris from a dryer vent. Civermark will provide this service only when it reasonably believes: no live animal is present; the nest is inactive; no eggs, chicks, or dependent young are present; the material can be safely accessed; the contamination does not require specialized remediation; and removal can be performed lawfully. Civermark cannot guarantee that birds, animals, or insects will not return after the vent is cleaned.
Civermark does not provide paid trapping, capture, handling, relocation, or removal of live wildlife unless Civermark later obtains all qualifications and licensing required for that service. Civermark may stop or postpone work when it discovers: a live bird or animal; eggs; chicks; dependent young; a potentially active nest; a bat or evidence of current bat occupancy; aggressive or stinging insects; or significant biological contamination. The customer may need to arrange service through a properly qualified wildlife-control, pest-control, or remediation provider before Civermark can complete the dryer-vent service.
Civermark may use ladders or exterior access methods when included in the approved service and when conditions appear safe. Civermark may decline exterior or rooftop work because of: rain, snow, or ice; high wind or lightning; extreme temperatures; damaged or steep roofing; unstable ground; electrical hazards; unsafe ladder placement; or any condition Civermark considers unreasonably dangerous. Declined exterior work may be rescheduled or removed from the final invoice depending on the work already completed.
Civermark is not responsible for conditions that existed before service, including: crushed, separated, torn, corroded, or deteriorated ductwork; loose connections; improper vent materials; missing supports; defective exterior covers; hidden blockages; pest damage; moisture damage; mold; roof or wall leaks; defective appliance components; improper appliance installation; electrical or gas defects; or damage concealed behind appliances, walls, ceilings, floors, roofing, cabinetry, or insulation. The discovery or documentation of an existing condition does not mean Civermark caused it.
Civermark may decline, suspend, or stop work when: a condition appears unsafe; the system is inaccessible; the appliance or vent appears damaged; gas, electrical, structural, mold, asbestos, pest, or environmental concerns exist; weather prevents safe exterior work; the requested work exceeds Civermark's qualifications, equipment, insurance, or approved scope; a customer, occupant, animal, or third party interferes with the work; Civermark personnel are threatened or exposed to an unsafe environment; or continuing could damage the appliance or property.
The customer is responsible for approved work already completed and approved materials already installed. The customer will not be charged for portions of the service Civermark does not perform.
Civermark will use reasonable care and commercially reasonable methods to remove accessible lint and debris. Civermark does not guarantee: that every concealed part of the vent can be inspected; that every particle of lint or debris will be removed; a specific increase in airflow; a specific reduction in drying time; a reduction in utility costs; that an appliance problem will be corrected; that defective installation or damaged ductwork will be corrected; that pests or wildlife will not return; that cleaning will prevent every possible dryer fire; or that the system complies with every building, mechanical, or fire code.
Dryer performance may also be affected by appliance condition, heating components, moisture sensors, gas or electrical supply, dryer settings, load size, vent design, damaged ductwork, or improper installation.
EXCEPT AS EXPRESSLY STATED IN THESE TERMS, SERVICES ARE PROVIDED "AS IS" AND CIVERMARK DISCLAIMS ALL WARRANTIES, EXPRESS OR IMPLIED, INCLUDING THE IMPLIED WARRANTIES OF MERCHANTABILITY AND FITNESS FOR A PARTICULAR PURPOSE, TO THE FULLEST EXTENT PERMITTED BY LAW. NOTHING IN THIS SECTION LIMITS A WARRANTY OR CONSUMER PROTECTION RIGHT THAT CANNOT LAWFULLY BE DISCLAIMED.
Civermark's observations are limited to conditions reasonably visible during the purchased service. Civermark does not perform a formal home inspection, building-code inspection, fire inspection, HVAC inspection, appliance inspection, gas-system inspection, or engineering evaluation. Completion of service does not certify that the dryer, gas connection, exhaust system, or property is free from defects or hazards.
The customer authorizes Civermark to photograph or record the dryer, vent components, debris, work area, existing damage, unsafe conditions, and completed work for: service documentation; customer communication; quality control; training; insurance records; billing disputes; legal claims; and documentation of preexisting conditions.
Civermark will not intentionally publish identifying photographs of the customer, exact property address, faces, license plates, personal documents, or private belongings for marketing without separate permission.
Civermark retains service photographs for as long as reasonably necessary for the purposes listed above, and generally no longer than seven years, unless a longer period is required to resolve a dispute, satisfy insurance or legal requirements, or comply with applicable law. A customer may request deletion of non-essential photographs by contacting Civermark; Civermark may retain records reasonably needed for legal, insurance, or billing purposes even after such a request.
By providing contact information, the customer authorizes Civermark to communicate as reasonably necessary regarding: inquiries; quotes; appointment confirmation; schedule changes; access questions; service findings; additional-work approval; invoices and payments; and service concerns. The optional on-the-way courtesy call will be made only when selected or otherwise requested by the customer. Promotional calls and messages are separate and require any consent required by applicable law.
Unless otherwise agreed in writing, payment is due immediately upon completion of the service call or approved work. The customer agrees to pay, as applicable: the approved service price; the $35 service-call fee when applicable; approved additional charges; approved materials; and applicable taxes.
The service-call fee is due when Civermark completes the on-site evaluation and the customer declines or does not purchase a qualifying service, subject to the exceptions stated in these Terms. The customer may decline additional work. No additional cleaning, repair, replacement, material, or other chargeable service will be performed without customer approval. Payment processing may be handled by an independent payment provider. Civermark generally does not directly store complete payment-card information.
Customers may cancel or reschedule without charge by contacting Civermark by telephone, text message, email, or through the available scheduling system. Civermark does not currently charge cancellation fees, rescheduling fees, no-show fees, no-access fees, or trip fees. Customers are encouraged to provide as much notice as reasonably possible. Failure to receive a courtesy call does not cancel an appointment. Customers who need to cancel or reschedule must contact Civermark directly. Repeated missed appointments or access problems may result in Civermark declining future bookings.
Civermark may cancel or reschedule because of weather, illness, emergency, vehicle or equipment failure, unsafe conditions, scheduling issues, or circumstances outside Civermark's reasonable control. Neither party is liable for delay or failure to perform an obligation under these Terms (other than a payment obligation) to the extent caused by circumstances beyond that party's reasonable control, including acts of God, severe weather, fire, natural disaster, pandemic or public health emergency, government order, labor shortage or dispute, or failure of utilities or suppliers.
The customer will not be charged for work Civermark does not perform. Any payment collected solely for unperformed work will be refunded or applied to a rescheduled appointment according to the customer's preference.
Customers should inspect the service before Civermark leaves whenever practical. A concern should be reported within seven calendar days whenever reasonably possible. Civermark must be provided a reasonable opportunity to review records, inspect the reported issue, correct a billing error, or reperform an affected portion of the service when appropriate. Depending on the circumstances, Civermark may provide corrective service, a partial refund, a full refund, a service credit, or another reasonable resolution. Additional terms are contained in the Civermark LLC Cancellation & Refund Policy.
To the fullest extent permitted by law, Civermark will not be liable for indirect, incidental, special, punitive, or consequential damages, including loss of income, loss of use, or business interruption. To the fullest extent permitted by law, Civermark's total liability arising from a particular appointment will not exceed the amount paid to Civermark for the affected service. These limitations do not apply where prohibited by law or to liability that cannot legally be limited.
Civermark carries general liability insurance covering its dryer-vent cleaning services. A certificate of insurance is available upon request. Maintaining insurance does not expand the scope of services described in these Terms or waive any limitation of liability stated here.
Civermark attempts to keep its website accurate, but information may contain errors or become outdated. Website content is general information and does not replace an onsite assessment. Prices, availability, descriptions, and promotions may be corrected before the customer approves the final service order.
Civermark's collection and use of personal information are governed by the Civermark LLC Privacy Policy, which is incorporated into these Terms.
Nothing in these Terms limits any cancellation, refund, or other consumer right provided by applicable law. When a transaction legally requires a separate cancellation notice or agreement, that document will control over a conflicting provision in these Terms.
These Terms are governed by Ohio law, without regard to conflict-of-law principles. Before filing legal action, the customer and Civermark agree to make a reasonable good-faith effort to resolve the dispute through direct communication. Any dispute not resolved through direct communication may be brought in a state or municipal court of competent jurisdiction located in the Ohio county where the service was performed, or in small-claims court where the claim qualifies, subject to any consumer right that cannot legally be waived or limited.
If any part of these Terms is determined to be invalid or unenforceable, the remaining provisions will continue in effect to the fullest extent permitted by law.
These Terms, together with the approved quote, booking confirmation, work order, Service Authorization, Privacy Policy, Cancellation & Refund Policy, and approved changes, form the agreement between Civermark and the customer. A specific approved quote or work order controls when it conflicts with these general Terms concerning that particular service.
Civermark may update these Terms for future appointments. The version made available when the customer approves or schedules service will govern that appointment unless otherwise agreed in writing.

Civermark LLC respects the privacy of its website visitors, prospective customers, and customers. This Privacy Policy explains what information Civermark collects, how the information may be used, when it may be shared, and the choices available to customers. "Civermark," "we," "us," and "our" refer to Civermark LLC. "You" and "your" refer to website visitors, prospective customers, and customers.
Civermark may collect information you provide, including: name; telephone number; email address; service address; billing information; appointment date and availability; information submitted through the online booking or quote-request forms; property-access instructions; whether the dryer is electric or gas; information about the dryer and dryer-vent system; information about lint buildup, nesting material, pests, or other conditions; photographs or videos you submit; messages, emails, and telephone communications; quotes, invoices, payment status, and service history; courtesy-call preference; voicemail preference; reviews, survey responses, and customer feedback; and other information you voluntarily provide.
Please do not send Social Security numbers, banking passwords, medical information, or other information not reasonably necessary for the requested service.
When you visit the Civermark website, our website host and technology providers may automatically collect limited information such as: Internet Protocol address; browser and device type; operating system; approximate geographic area based on IP address; pages viewed; date and time of the visit; referring website or advertisement; links or buttons selected; and cookie or similar technology information. This information may be used to operate the website, measure advertising performance, prevent misuse, and improve Civermark's services.
Civermark may use personal information to: respond to inquiries; prepare estimates and quotes; schedule, confirm, and provide appointments; record whether a customer selected the optional on-the-way courtesy call; place a requested courtesy call; leave an appointment-related voicemail when permitted; communicate scheduling changes; provide arrival or access updates; communicate service findings; obtain approval for additional work; process payments and send receipts; maintain customer and service records; document existing property conditions; address complaints, disputes, insurance matters, or legal claims; improve the website, advertising, and customer experience; prevent fraud or misuse; comply with accounting, tax, insurance, and legal obligations; and send marketing communication when legally permitted and when any required consent has been obtained.
By providing a telephone number, you consent to receive calls, voicemails, and text messages from Civermark at that number regarding your inquiry, quote, appointment, or service, including the optional on-the-way courtesy call and other communications described in this Policy. Message and data rates may apply to text messages. Message frequency varies. You may withdraw this consent at any time by replying "STOP" to a text message, telling Civermark during a call that you no longer wish to be contacted at that number, or contacting Civermark using the information in Section 20. Reply "HELP" to a text message for assistance. Withdrawing consent to service-related calls or texts may limit Civermark's ability to schedule, confirm, or update an appointment, and Civermark may need to reach you by another method (such as email) instead.
This consent is not required as a condition of purchasing services, except that a working method of contact is necessary to schedule and provide service.
Customers may voluntarily select an option requesting that Civermark call when the technician is on the way to the property before arrival. The courtesy call may be used to let the customer know the technician is en route, confirm basic appointment or property-access details, and communicate any scheduling change known at the time of the call.
The call does not promise or establish an exact arrival time. Arrival timing may remain uncertain because previous jobs, traffic, weather, routing, service complications, equipment issues, and other circumstances may affect Civermark's schedule.
Selecting the courtesy-call option is not required to receive service. Declining the courtesy-call option will not affect the customer's price or eligibility for service. A customer may change or withdraw the courtesy-call preference by contacting Civermark. Failure to receive or answer the courtesy call does not cancel or reschedule the appointment.
Unless the customer directs otherwise, Civermark may leave a brief voicemail stating that the technician is on the way. Civermark will avoid including unnecessary details about the property or requested service in a voicemail. The courtesy call is informational and service-related. It does not authorize promotional calls.
Even when a customer does not select the optional on-the-way courtesy call, Civermark may contact the customer when reasonably necessary regarding: a submitted inquiry; a quote or estimate; appointment confirmation; a material schedule change; technician arrival or delay; property access; conditions discovered during service; approval of additional work; payment; or a service concern. These communications are limited to the customer's request, appointment, or account.
Marketing communications are separate from the optional courtesy call and other necessary service-related communications. Civermark will obtain any consent required by law before sending promotional calls, automated promotional texts, or similar marketing communications. Customers may withdraw marketing permission without affecting their ability to purchase or receive Civermark services.
Civermark may photograph or record: the dryer; dryer connections; gas-appliance connections Civermark is authorized to access; dryer-exhaust ducts; exterior vent covers; lint and debris; inactive nesting material; existing damage or unsafe conditions; work in progress; and completed work. These images may be used for service documentation, customer communication, quality control, training, insurance, billing disputes, legal claims, and documentation of preexisting conditions.
Civermark retains service photographs for as long as reasonably necessary for these purposes, and generally no longer than seven years, unless a longer period is required to resolve a dispute, satisfy insurance or legal requirements, or comply with applicable law. A customer may request deletion of non-essential photographs as described in Section 15; Civermark may retain records reasonably needed for legal, insurance, or billing purposes even after such a request.
Civermark will not intentionally use identifiable images of a customer, exact street address, face, license plate, personal document, or private household item in advertising without separate permission. Marketing-photo permission is optional.
Payments may be processed through an independent payment processor or business-management platform. Civermark generally does not directly receive or store complete card numbers. Civermark may retain limited transaction information, including: amount paid; payment date; payment status; last four digits of the payment method; transaction or receipt number; and refund or dispute status. Customers should not send complete payment-card information through ordinary email, text message, or contact forms.
Civermark may share information as reasonably necessary with: website-hosting providers; scheduling, online booking, database, and customer-management platforms used to store customer and appointment records; telephone, voicemail, email, and text-message providers; payment processors; cloud-storage providers; mapping and navigation providers; analytics and advertising providers; accountants, insurers, attorneys, and professional advisers; employees, technicians, or subcontractors who need the information to provide service; government authorities when required by law; appropriate parties investigating fraud, threats, accidents, property damage, or legal claims; and a buyer or successor in connection with a sale, merger, or reorganization of the business.
Civermark does not sell customer personal information for money.
Civermark may retain records showing: the telephone number provided; whether the customer requested a courtesy call; whether voicemail permission was granted or restricted; the date and approximate time of a call; whether the call was answered; notes concerning appointment details discussed during the call; and customer requests to change communication preferences. Civermark does not record telephone-call audio unless appropriate notice and consent are provided.
The website may use cookies or similar technologies to: keep website features functioning; remember basic preferences; measure website traffic; prevent fraud or misuse; evaluate advertising performance; and support scheduling tools, forms, or maps. Customers may change browser settings to block or delete cookies, although some website features may not operate properly.
Civermark uses reasonable safeguards intended to protect personal information, which may include: password protection; multi-factor authentication when available; restricted access to customer records; reputable payment providers; updated software and devices; secure disposal of unneeded records; and limiting access to people with a legitimate business need. No website, telephone system, email account, mobile device, or electronic storage system can be guaranteed completely secure.
Civermark may retain personal information for as long as reasonably necessary to: schedule and provide service; document appointments and customer preferences; maintain service and warranty records; address complaints or disputes; process payments and refunds; satisfy tax, accounting, insurance, and legal requirements; and protect Civermark's legal rights. Service photographs are retained as described in Section 8. Information no longer reasonably needed may be deleted, anonymized, or securely disposed of.
Customers may contact Civermark to: update incorrect contact information; change or withdraw the optional courtesy-call preference; request that Civermark not leave voicemail messages; withdraw consent to calls or text messages as described in Section 4; withdraw marketing consent; ask how Civermark uses their information; and request deletion of information Civermark is not legally or operationally required to retain, including non-essential service photographs. Civermark may verify the requester's identity before completing certain requests.

The Civermark website may link to or use third-party websites, scheduling platforms, payment providers, maps, telephone systems, or social-media services. Independent third parties may maintain their own terms and privacy policies. Civermark is not responsible for their independent practices.
If Civermark becomes aware of a security incident involving personal information, Civermark may investigate, take reasonable corrective action, and provide notice when required by law.
Civermark may update this Privacy Policy as its services, technology, or legal obligations change. The revised Policy will be posted with an updated effective date.

CIVERMARK LLC CANCELLATION & REFUND POLICY
Effective Date: July 21, 2026
This Cancellation & Refund Policy applies to appointments and services provided by Civermark LLC. "Civermark," "we," "us," and "our" refer to Civermark LLC. "Customer," "you," and "your" refer to the person or organization requesting, authorizing, or purchasing services. By scheduling an appointment or approving a quote, you agree to this Policy.
A $35 service-call fee applies when Civermark completes an authorized on-site evaluation and the customer declines or does not purchase a qualifying cleaning, repair, replacement, or other service offered for that appointment.
The service-call fee is waived when a qualifying service is approved and completed during the appointment. No cleaning, repair, replacement, or other additional chargeable work will be performed without the customer's approval of the service and price.
If an approved service must be completed during a later appointment because of circumstances not caused by the customer, the $35 service-call fee will be credited toward that approved service when it is completed.
The service-call fee is not a cancellation, no-show, no-access, or trip fee. Customers who cancel before Civermark performs the on-site evaluation will not be charged the service-call fee.
Once the authorized on-site evaluation has been completed, the service-call fee is generally nonrefundable because the evaluation service has already been performed. A refund may nevertheless be provided when: the fee was charged incorrectly; the on-site evaluation was not performed; Civermark canceled or was unable to perform the evaluation; the fee should have been waived or credited toward a qualifying service; or a refund is required by applicable law.
Civermark understands that schedules can change. Customers may cancel or reschedule an appointment without charge by contacting Civermark by telephone, text message, email, or through the available scheduling system. Civermark does not currently charge cancellation fees, rescheduling fees, no-show fees, no-access fees, or trip fees. Customers are encouraged to provide as much notice as reasonably possible so Civermark can adjust its schedule.
Customers may choose to receive an optional courtesy telephone call when the technician is on the way to the property before arrival. The call may be used to let the customer know the technician is en route, confirm basic access details, and communicate any scheduling changes known at that time. If the customer does not answer, Civermark may leave a brief voicemail.
The courtesy call does not provide or guarantee an exact arrival time. Civermark's arrival timing may be affected by the length or condition of previous jobs, unexpected service complications, traffic, weather, routing changes, equipment or vehicle issues, emergencies, or other circumstances outside Civermark's reasonable control.
Selecting the courtesy call is optional and is not required to book or receive service. Failure to receive, answer, or return the courtesy call does not cancel or reschedule the appointment. Customers who need to cancel or reschedule must contact Civermark directly.
A confirmed service date does not guarantee arrival at an exact minute unless Civermark expressly provides a guaranteed time in writing. Civermark will make reasonable efforts to perform service on the confirmed date, provide available arrival information, communicate significant delays, and contact the customer if the appointment must be moved to another date. An estimated arrival time or window may change as the service date progresses.
If Civermark arrives but cannot access the property, dryer, dryer-vent system, exterior termination, or work area, the appointment may be rescheduled. Access problems may include: no authorized adult is available; the customer is not answering or providing entry; an incorrect service address; a locked gate or building entrance; a blocked dryer or work area; unsecured pets; missing property-owner or management permission; or an undisclosed unsafe condition.
Civermark will not charge a cancellation, no-show, no-access, or trip fee. Civermark may decline future bookings when a customer repeatedly misses appointments, provides incorrect information, or fails to provide reasonable access.
Civermark may cancel or reschedule an appointment because of: severe weather; unsafe road conditions; illness or emergency; vehicle or equipment failure; unsafe property conditions; earlier appointments taking longer than reasonably expected; scheduling or staffing problems; or circumstances outside Civermark's reasonable control.
The customer will not be charged for work Civermark does not perform. Any payment collected solely for unperformed work will be refunded or applied to a new appointment according to the customer's preference. Civermark will make reasonable efforts to communicate the change using the customer's provided contact information.
Customers may decline or cancel a quoted cleaning, repair, replacement, or other additional service before that work begins. If Civermark has already completed the authorized on-site evaluation, the applicable $35 service-call fee may still be due even when the customer declines additional work.
Payment made for additional work that has not started will be refunded, except for specially ordered materials, when: the customer approved the purchase; Civermark disclosed that the item would be nonrefundable; Civermark already purchased the item; and the item cannot reasonably be returned. Civermark does not currently require a standard deposit for ordinary dryer-vent-cleaning appointments.
If a customer asks Civermark to stop after work begins, the customer may be responsible for: services already completed; the applicable service-call fee; reasonable labor already performed; materials already installed with approval; and approved specially ordered, non-returnable materials. The customer will not be charged for labor that was not performed.
The original price may change if Civermark discovers conditions outside the approved service description, including: severe lint buildup or blockage; inactive nesting material or pest debris; difficult or rooftop exterior access; gas-dryer access requirements; damaged or disconnected ductwork; an unusually long or complex vent; additional dryers or vent systems; or additional equipment, labor, or materials.
Civermark will request approval before performing additional chargeable work. Customers may decline additional work. Civermark may be unable to complete the original service if additional work is necessary for safe access or proper completion. The customer remains responsible for approved work completed before the additional condition was discovered.
Ductwork repair labor is quoted separately from materials. The final price for a ductwork repair varies based on the materials needed and will be approved by the customer before that work begins.
Civermark may refuse, postpone, or stop work because of: a suspected gas leak; a damaged or unsafe gas connection; unsafe electrical conditions; an appliance that cannot be safely moved; significant mold or biological contamination; live wildlife; an active nest containing eggs, chicks, or dependent young; bats or current bat activity; aggressive or stinging insects; unsafe ladder or roof conditions; damaged or inaccessible ductwork; or a condition requiring another qualified provider.
Customers will not be charged for portions of the service that Civermark does not perform. Customers may also remain responsible for the applicable service-call fee when Civermark completes the authorized on-site evaluation before discovering or confirming the unsafe or unserviceable condition.
Evaluation, cleaning, maintenance, repair, and installation services involve labor that cannot be returned after completion. Completed service is not automatically refundable merely because: less lint or debris was present than expected; the customer changes their mind; the dryer continues to dry slowly; the appliance has a separate mechanical, electrical, or gas problem; the vent has a design, installation, or damage issue; a concealed or inaccessible section could not be cleaned; wildlife, insects, or debris later return; or the customer expected a result outside the approved service description.
Civermark does not guarantee a specific drying-time improvement, utility-cost reduction, airflow measurement, or prevention of every future blockage, dryer fire, appliance failure, or wildlife entry.
Customers should inspect completed work before Civermark leaves whenever practical. A workmanship concern should be reported within seven calendar days whenever reasonably possible. The report should include: customer name; service address; appointment date; description of the concern; and relevant photographs or videos, when available. The seven-day reporting request does not eliminate any legal right that cannot lawfully be limited.
Before hiring another provider to correct an alleged problem or requesting reimbursement, the customer agrees to provide Civermark a reasonable opportunity to: review service records and photographs; discuss the concern; inspect the affected area; correct a billing error; and reperform an affected portion of the service when appropriate. This does not apply when immediate action is reasonably necessary to prevent injury, a gas emergency, fire, or serious property damage.
If Civermark determines that an agreed portion of its service was not properly completed, Civermark's first remedy will ordinarily be to correct or reperform the affected portion without an additional labor charge. This remedy does not cover: new lint accumulation; new blockages; appliance failure; defective or damaged ductwork; improper installation; wildlife or pest reentry; customer or third-party changes; areas Civermark could not reasonably access; or conditions unrelated to Civermark's work. Depending on the circumstances, Civermark may instead provide a partial refund, full refund, service credit, or another reasonable resolution.
Civermark may issue a full or partial refund when: the customer was charged incorrectly; the customer paid for a service that was not performed; Civermark collected payment and canceled without providing the service; Civermark cannot reasonably correct a verified workmanship issue; the parties agree that a refund is the fairest resolution; or a refund is required by applicable law. Refunds will not exceed the amount the customer paid for the affected service, fee, labor, or material.
Approved refunds will generally be returned through the original payment method. The time required for a refund to appear may depend on the customer's bank, card issuer, or payment processor.
If Civermark later requires a deposit or prepayment, the applicable quote, invoice, or booking confirmation will identify: the service being reserved; the total quoted price; the amount collected; the remaining balance; whether any portion is nonrefundable; applicable cancellation terms; and separately approved charges. Unless clearly disclosed otherwise before payment, money collected for work Civermark does not perform will be refunded.
Promotional discounts have no cash value, cannot be exchanged for cash, apply only to qualifying services, apply only during the stated promotional period, and may not be combined unless the offer permits it. A refund will be based on the amount the customer actually paid after discounts.
Customers should contact Civermark before initiating a chargeback or payment dispute, so Civermark has a reasonable opportunity to: review the invoice; correct a billing error; review service documentation; inspect a reported concern; and offer an appropriate resolution. Nothing in this section prevents a customer from exercising rights that cannot legally be waived.
Nothing in this Policy limits any cancellation or refund right provided by federal, state, or local law. When a transaction legally requires a separate cancellation notice or statutory cancellation period, the required notice will control over a conflicting provision in this Policy.
Civermark may update this Policy for future appointments. The version available when the customer schedules or approves service will govern that appointment unless the parties agree otherwise in writing.
